Privacy Notice

Last updated: [To be confirmed by Arbitra]

Arbitra is a digital dispute-resolution platform. Arbitration institutes run workspaces on it, and parties and arbitrators join through invitations. This notice explains in plain language what information the product handles.

Who is responsible

Arbitra operates the platform. Legal entity name, registered address and grievance contact: [To be confirmed by Arbitra]. Each arbitration institute decides what goes into its own workspace and cases; Arbitra processes that content to provide the service.

Information we handle

  • Account details: name, email address, mobile number, organisation or institute name and a password (stored in protected form).
  • Case records: case details, party and representative details, documents, notices, deadlines and the steps taken on a proceeding.
  • Identity verification: where an institute or a person verifies identity through a government locker service, the verification result and the details returned by that service for that purpose.
  • Audit trail: a record of case step changes and workspace administration actions, with who did them and when.
  • Technical data: basic request and error logs needed to run and secure the service.

How we use it

  • To create and secure accounts and workspaces, and to review new institutes before they go live.
  • To keep each case visible only to people with a role on it.
  • To deliver notices and verification codes by email and WhatsApp.
  • To keep an audit trail and to investigate misuse or faults.

Who can see it

People see a proceeding only through a real role on it: institute staff, the parties and their representatives, and the tribunal. Other institutes cannot see your workspace. Arbitra platform administrators can access workspace data only for review, support and security purposes.

Service providers

We use third-party providers to deliver email and WhatsApp messages, to verify identity through government locker services, and to host the platform. These providers receive only what they need to perform that task. List of providers and hosting location: [To be confirmed by Arbitra].

Retention

Retention periods for case records, audit logs and account data: [To be confirmed by Arbitra]. Institutes may have their own record-keeping obligations.

Your choices and rights

You can ask to access or correct your information, or raise a concern, by writing to the contact address below. The process, response times and any statutory rights that apply: [To be confirmed by Arbitra].

Security

Workspaces are isolated from one another, access follows case roles, and administrative actions are written to an audit trail. No online service can promise perfect security.

Changes

We will update this page when the product or our practices change. Data protection officer or grievance officer name: [To be confirmed by Arbitra].
